Library Services: Reserves (Electronic)

Electronic Reserves is a digitized collection of course materials available online. Students may access it with their library barcode.

Types of Materials or Formats Accepted

  • Library-owned materials, either print or digital.
  • Instructor or department owned materials including books, journal articles, exams, lecture notes. Either print or digital.
  • Reproductions of materials with copyright permission, such as journal articles, chapters from books, and music pieces from sound recordings
  • EOU produced works such as reports and student paper (with permission)
  • Electronic files in formats such as MS Word, Adobe PDF files and MS Power Point can be emailed to the Public Services/Collections Librarian.
  • Remember that to access some of these formats requires your students to have special software. For example Acrobat Reader 5.x or the Power Point viewer.
  • Web-based resources such as links to faculty web pages, government resources, and public domain resources
  • We can also often create a persistent link to full text articles in some databases.

Pierce Library reserves the right to reject for Reserves any material that it deems violates Copyright Law. Faculty members are responsible for acquiring permissions beyond those provided by the Copyright Act. All questions that faculty have regarding copyright permissions should be directed to their College Dean.

Pierce Library will consider purchasing any materials that are not in the Libraries' collection. Provide us with a complete citation. Faculty are encouraged to spend some of their library allocation for these materials where appropriate.

Preparation of Materials for Submission

  • Provide complete citations for each item.
  • You can specify the format you wish the materials to be converted into, Power Point (PPT), Adobe (PDF) or persistent URL. Both PDFand PPT formats require special software for students to be able to access them. Each format has different advantages. Please ask if you have questions regarding format.
  • Provide the cleanest possible copy for scanning. Do not give us double sided copies to scan.
  • What you see in your copy is what your students will get. We scan at 200 dpi B & W in PDF format to keep the file size down, unless you specify otherwise. We can also scan PDF and PPT in color.
  • Originals sized 9 X 12 inches or smaller are required for our digital scanner.
  • Items to be scanned must be less than 50 pages in length.
  • Divide large documents into short segments for digital scanning.
  • Submit materials in first use priority.
  • You can see how materials appear in various formats and at different levels of resolution by going to the Library's Electronic Readings site.

Processing Time

  • Materials are processed in the order of receipt.
  • Processing time:
    • 48 hours weekdays during first 2 weeks of a quarter.
    • 24 hours weekdays during the remaining period.
  • An email confirmation will be sent to the instructor upon completion of processing.
  • Check your course reserves.
  • Please contact the Public Services / Collections Librarian (Email) or the Circulation Specialist (Email) if your students are having any problems opening or reading any of the reserve materials.

Adding and Removing Items

  • Additions require a Reserve Request Form.
  • To remove an item from Reserves, contact the Public Services / Collections Librarian.

Duration

  • Materials will remain for one week after the last day of the quarter.
  • If the same material is used for another quarter, you must notify the library before the end of the quarter.
  • Materials not resubmitted will be removed from Reserves. Personal materials will be sent to the instructor's campus address.

Access

To limit access to students enrolled in the class, electronic reserves require a password, which is the student's barcode from the back of their student ID. This limitation is in accordance with Fair Use guidelines for electronic reserves. Students may obtain a barcode in Inlow Hall; or by contacting the staff at Pierce Library; or by following the “Lost or New Library Barcode / PIN” link from the Library's Home page.
