Thesis Submission Policy

Introduction

OAR 166-475-0110 on Student Records specifies that OUS institutions shall permanently retain copies of accepted theses or dissertations. Libraries or university archives traditionally serve as the repository for the permanent copy. This policy establishes guidelines and procedures governing how, when and in what format student theses, dissertations or senior papers should be submitted to the Library. The Library will handle shipping, receiving and binding of all paper submissions; and for all submissions will maintain a catalog record and a copy for safe keeping.

Submission Format Requirements

The following format requirements apply to the Masters Thesis or Project written as a degree requirement for any of the Master’s programs at Eastern Oregon University and to the Senior Papers written for various departments across campus, notably History and Psychology.

Submissions may be in print or electronic format. Whether print or electronic, thesis submission must be accompanied by Nonexclusive-Right-to-Publish form granting Pierce Library the right to publish or reformat the work electronically (appended to this policy).

Print formatting
  • Please submit unbound.
  • Margins: left side margin a minimum of 1 ½ inches and remaining margins a minimum of 1 inch to allow for library binding.
  • Font: minimum of 10 pt., font type and style determined by the Department
  • Paper: 8 1/2" x 11" bond; Acid free with a 1% alkaline reserve; Minimum 20 pounds in weight
  • Submit Nonexlusive-Right-to-Publish form
  • Submit Theses Print Submission Information form (appended to this policy)
Electronic formatting
  • Do not label disc.
  • Contents: Disc should contain
    • Thesis
    • Scanned Committee Signature page
    • Scanned Library Nonexclusive-Right-to-Publish Form (appended to this policy)
  • Format: Contents must be converted to PDF
  • Theses Electronic Submission Information form must accompany disc. (appended to this policy)
  • If assistance is needed, library staff will help with PDF formatting, and document scans.

Submission Procedures

Departments will ensure that library submission format criteria are met and will submit a copy of the theses, dissertations or senior papers to the Library. Masters Theses will be accepted at anytime. Senior Papers will be accepted annually as a complete set on or before July 1st. For Senior Papers, the department will create a table of contents listing the paper titles, to be bound with those years’ papers. Departments may set up special procedures if necessary for projects that have confidentiality or restricted access requirements.
